Match how well you know them

Most coworker birthday messages go into a group card or a team thread, often for someone you only know a little. That's fine. The right message is the one that fits the relationship:

  • You barely know them: a warm, simple wish. "Happy birthday! I hope you have a great day."
  • You work together often: one specific thing about working with them. "Thanks for always answering my questions, even the same one twice."
  • They're a work friend: an inside joke and a plan for lunch.

What to write in a group card

When the card reaches your desk with twenty names already in it, read a few to get the tone, then write one or two lines and your name. Mention something specific if you can ("Thanks for always fixing the printer"), and leave room for the people after you. If you don't know them at all, a warm "Happy birthday, have a great day" is perfectly fine.

In the team chat

Reply in the birthday thread instead of starting a new one, so the channel stays readable. A reaction is fine if you barely know them; a sentence is nicer if you work together.

If you're organizing the card or the cake

Check first whether the person enjoys a fuss; some would rather skip the singing. Pass the card around a few days early so everyone has time to write, and include remote colleagues with a shared digital card or a message thread. Keep any collection for a gift voluntary and small.

If they don't celebrate birthdays

Some people don't mark birthdays, for religious or personal reasons. If you know that, skip the card and the singing. A friendly "Have a good day" is enough, or nothing at all.

What to leave out

  • Age, appearance or relationship status.
  • Jokes about how little work they do, even if they make them.
  • Anything you wouldn't say in a meeting.
  • Pressure to join a celebration they didn't ask for.

Frequently asked questions

What do you write in a coworker's birthday card if you don't know them well?
A short, warm wish is perfect: "Happy birthday! I hope you have a great day." If you've worked with them on something, add a line about it.
Is it okay to be funny in a coworker's birthday card?
Light humor about work life (meetings, cake, the printer) is usually fine. Avoid jokes about age, looks or personal life, since others will read it.
What if I missed a coworker's birthday?
Belated wishes are normal at work. "Happy belated birthday, sorry I missed it, I hope it was a good one" is enough.
Should I give a coworker a birthday gift?
Usually not, unless you're close or the team chips in together. A card or a message is the norm, and a coffee or a small treat is plenty for a work friend.
